UAT testing examples

User acceptance testing (UAT) checks that a business process works end to end for the people who use it. Below are four examples you can copy, each split into steps with an owner, an expected result and the evidence to capture.

Order-to-Cash

A customer order travels from Sales through the Warehouse to Finance before cash is received.

  1. 1Sales

Create a sales order for a standard customer and item.

    Expected:
Order is saved with a number and correct price.
    Evidence:
Screenshot of the order with its number
  2. 2Warehouse

Pick, pack and confirm shipment for that order.

    Expected:
Stock is reduced and the order shows as shipped.
    Evidence:
    Shipment confirmation
  3. 3Finance

    Generate and post the invoice.

    Expected:
Invoice matches the order amount and tax.
    Evidence:
    Invoice PDF
  4. 4Accounts receivable

Apply the customer payment to the invoice.

    Expected:
Invoice is closed with a zero balance.
    Evidence:
    Receipt record

With E2E UAT Platform: The order number from step 1 is handed to each next person, so nobody retypes it or tests the wrong order.

Procure-to-Pay

A purchase request is approved, ordered, received and paid.

  1. 1Requester

Raise a purchase requisition above the approval limit.

    Expected:
    Requisition is routed for approval.
    Evidence:
    Requisition screenshot
  2. 2Approver

    Approve the requisition.

    Expected:
A purchase order is created and sent to the supplier.
    Evidence:
    Purchase order
  3. 3Warehouse

Receive the goods against the purchase order.

    Expected:
    Receipt quantity updates stock.
    Evidence:
    Goods receipt
  4. 4Accounts payable

Match the supplier invoice to the order and receipt, then pay it.

    Expected:
Three-way match passes and payment is released.
    Evidence:
    Payment record

With E2E UAT Platform: If the approval step fails, the cycle stops right there so receiving and payment are never tested on bad data.

Monthly payroll

HR changes flow into a payroll run that Finance approves and posts.

  1. 1HR

Enter a new hire and a salary change for an existing employee.

    Expected:
Both records are saved with the correct effective date.
    Evidence:
    Employee record screenshots
  2. 2Payroll

Run the payroll calculation for the period.

    Expected:
Net pay, tax and deductions are correct for both employees.
    Evidence:
    Payroll register
  3. 3Finance

Approve the run and post it to the ledger.

    Expected:
Journal entries balance and hit the right accounts.
    Evidence:
    Journal report

With E2E UAT Platform: Payslip data is sensitive, so evidence stays inside the cycle and is only visible to project members.

Month-end close

Accounting teams close the period and produce reports for sign-off.

  1. 1Accountant

Post accruals and run the depreciation batch.

    Expected:
    Batches post without errors.
    Evidence:
    Batch log
  2. 2Controller

    Reconcile key balance sheet accounts.

    Expected:
    Reconciliations show no unexplained differences.
    Evidence:
    Reconciliation workbook
  3. 3Finance manager

Review the trial balance and close the period.

    Expected:
No further posting is possible to the closed period.
    Evidence:
    Period status screenshot
  4. 4CFO

    Sign off the financial statements.

    Expected:
Sign-off is recorded with name and time.
    Evidence:
    Signed approval

With E2E UAT Platform: Every step carries its owner and timestamp, giving auditors a complete record of who closed what.

Run these examples with automatic handover

Each step goes to its owner's work queue. When they finish, the next person is notified, and evidence stays attached to the step.
